5 New Microsoft 365 Updates

Here are some of the newest additions to Microsoft 365 including setting your work location, viewing meeting information more easily, the new default theme, speaker view in teams meetings and (my favourite) coloured folders. 

As with any new features these may not yet be available through your version of Microsoft 365.

Set working location in Microsoft Teams

By setting your work location you can make it easier for colleagues to see whether you are in the Office or working remotely.

  1. Click on your Profile picture at the top right of teams
  2. Choose whether you are working remotely or in the office.
  3. Use Clear location to remove the location.

NOTE: The location is applied for your working hours for the rest of the day and can be seen in both Outlook and Teams

See Meetings from the Microsoft 365 Home Screen

Do you want to see all your meeting information in one place without going into the meeting itself?  Meetings due to occur in the next week along with meetings that have already occurred can now all be accessed in one place.  This also allows for meeting invites, meeting chat and recordings to be viewed from here too.

  1. Logon to your Microsoft 365 account
  2. Select My Content then Meetings

3. The list can be filtered by typing in the Filter by keyword box

Coloured folders in One Drive (and SharePoint)

If you would like to see, at a glance, the type of information that is stored in a particular folder then colour coding folders may be just what you need.  If you use the colours consistently it will make it easier to find the folders containing those types of files or that sort of information.

  1. Logon to your Microsoft 365 account
  2. Go to the App Launcher and select One Drive
  3. By clicking on My Files the folder structure in One Drive will be seen
  4. Click on the ellipses next to a folder
  5. Choose Folder Colour

You will need to remember what folder colour you are using for each type of information.  The labels for the colours cannot be changed.  The colours do not transfer through to Windows Explorer so if you want to see the coloured folders then you will need to access them through One Drive or SharePoint.

NOTE: To set it back to the default colour follow the steps above and make the folder colour yellow.

New Default Theme across Word, Excel, PowerPoint and Outlook

A new default theme is currently being rolled out.  The default font type of Calibri will be changing to Aptos.  There will also be a new colour palette, and updated default line weights.  This will be available throughout the Office suite.

Speaker View in Microsoft Teams Meetings

Microsoft Teams is introducing a new view called the speaker view.  This makes it easier to track the active speaker and is particularly beneficial in a large meeting where there are only a few active speakers.

  1. Click on the View icon
  2. Select Speaker

The view makes the speaker centre stage with a higher resolution.  All the other attendees are equally represented whether their video is disabled or not.

Using Zoom in a Teams meeting

You will start to see  ‘+’ and ‘-‘ zoom icons floating at the bottom left of your screen during a meeting.  Use them to zoom in and out as appropriate.
